Everyone MUST wear their LRWA-issued name badge for ALL events.

Exhibitor Booth Policy/Rules/Procedures
  • LRWA reserves the right to refuse a vendor from exhibiting at the LRWA Conference.
  • Each booth space is limited to three (3) personnel/representatives. If additional personnel wish to attend there is an additional fee of $100 per person.
  • Height Restrictions:  No displays or signs shall be higher than the pole & drape (8ft).
  • Advertising or canvassing outside the individual exhibitor’s booth is prohibited (signs/banners/advertising must be confined to assigned booth space).
  • Exhibitors may not sublet or assign their space to others.
  • Combustible materials and explosives are prohibited; fire extinguishers and exits must not be obstructed.
  • Public address systems will not be allowed. Any audio/visual presentation equipment must be limited to the hearing area of the booth. LRWA will not be accountable for copyrighted music or material.
  • Space is available outside in the parking lot for trailers/large equipment at no additional charge with the purchase of inside space. If you do not wish to have an inside booth space but want to have equipment outside you must purchase an outside space for $300. Security will not be available inside or outside.
  • Exhibitors shall assume all responsibility for any loss, damage, or injury they may cause, and they shall hold harmless the LRWA and the Lake Charles Event Center.
  • If you wish to provide any food or beverages in your booth you must contact LRWA.  There are regulations you must follow with the Lake Charles Event Center. Wrapped candy is an exception, this is permitted by the Lake Charles Event Center.
Booth Registration Includes
  1. Booth sizes 8ft deep x 10ft wide space, with one 6ft table, two chairs, and carpet.
  2. Pole and drape with an electrical outlet (500 watts).
  3. Sign with the company name as it appears on the registration form.
  4. Booth registration allows for three (3) personnel per booth space, each will receive an Award Luncheon Ticket. (if you only purchase 1 booth space and have more than 3 people attending then the additional personnel are $100 per person, this includes the Award Luncheon Ticket)
  5. Some Meals (breakfast/lunch/dinner) are provided during the week at the Lake Charles Event Center.
  6. All special events. EVERYONE (exhibitor/spouse/guest) MUST wear an LRWA-issued name badge to attend.  (Awards Luncheon; Welcome Address; Fish Fry; Meet & Greet Exhibitors; Las Vegas Night, Wednesday Band at L’Auberge Hotel, etc.)
  7. Three (3) complimentary Day Passes will be issued to each booth space registration for EMPLOYEES of water/wastewater systems who are not enrolled for the conference but wish to view the exhibit hall (sitting in on classes is not permitted). The complimentary Day Pass forms must be mailed or emailed to the LRWA office before the conference. These individuals must come to the LRWA main registration desk to receive a name badge to enter the exhibit hall.
  8. You can bring large equipment/trailers inside the Lake Charles Event Center Exhibit Hall area. (must purchase the necessary booth space to accommodate equipment/trailers).
  9. Space is available outside in the parking lot for trailers/large equipment at no additional charge with the purchase of inside space.  If you do not wish to have an inside booth space but want to have equipment outside you must purchase an outside space for $300.  Security will not be available inside or outside.
  10. A forklift is available through the Lake Charles Event Center at no cost.
  11. Please utilize Clark Services for any extra booth or shipping needs, they will ensure booth material is at your designated booth space waiting for you. A packet from Clark Services is available below for any additional needs.
Booth Assignment
  1. Booth space assignments will be made on a first-come, first-served basis, determined by the order in which exhibitor registrations and payments are received. The assignments will be provided at check-in at the Lake Charles Event Center.
  2. The reduced-price registration deadline is June 1st.
  3. To qualify for the discounted member rate, the company must have paid its current-year membership dues.
  4. LRWA will not hold booth spaces or process registrations without payment.
  5. Registrations will be accepted until July 1st, or until all spaces are sold, whichever comes first. (usually, sell out of booth spaces in April)
  6. If an exhibitor or vendor wishes to be placed next to another company, both companies must submit their registrations and payments to LRWA at the same time and note the request to be placed together. If this requirement is not met, LRWA cannot guarantee adjacent booth placement.
Exhibitor Unloading
  1. The Lake Charles Event Center does have a forklift.
  2. Exhibitors can park and enter at the north side of the Lake Charles Event Center near the loading dock area. This is where the sign-in desk is located.
  3. All Exhibitors must sign in at the exhibitor registration desk to receive conference material and booth location. Everyone (exhibitor, spouse, guest, child) MUST wear the LRWA-issued name badge for all events.  Directions for unloading will be provided at this time.
  4. Lake Charles Event Center is not responsible for receiving/holding material for your booth. If you wish to ship booth material, please utilize Clark Services.
Set-up and Breakdown/Teardown:
  1. The Registration Desk will be located inside the exhibit hall near the loading dock area (north side of Lake Charles Event Center).
  2. Pick up your conference packet (name badges, schedule, etc.) before setting up your booth.

Monday 7/13/26= Optional Exhibitor sign-in and set-up from 1:00 pm to 4:00 pm

Tuesday 7/14/26= Exhibitor sign-in and set-up from 10:00 am to 2:00 pm
Tuesday 7/14/26= Exhibit Hall will be open from 3:00 pm to 5:00 pm (Meet and Greet)

Wednesday 7/15/26= Exhibit Hall will be open from 9:00 am to 11:00 am and 1:00 pm to 5:00 pm
Wednesday 7/15/26= LRWA Annual Awards Ceremony and Luncheon (each person registered with a booth receives a luncheon ticket)

Thursday 7/16/26= Breakfast/Meeting for all exhibitors in the Exhibition Hall from 8:30 am to 9:30 am
Thursday 7/16/26= Exhibit Hall will be open from 9:30 am to 12:00 pm
Thursday 7/16/26= Exhibit breakdown anytime from 1:00 pm to 5:00 pm (note: booth breakdown is NOT allowed before 1:00 pm; classes will be breaking during the morning to view the exhibit hall and view presentations).

Door Prize Drawings
  1. Door prizes donated by exhibitors will be drawn on Thursday, 7/16/26, from 11:45 am to 2:00 pm (during lunch) in the Exhibition Hall.
  2. If you have a door prize(s) that you want LRWA to present, please bring them to the Exhibitor Registration Desk before 10:00 am on Thursday.
  3. Place your company’s name, contact person, and phone number on the item(s) so that the winner of your item(s) will know the company that provided the prize.

Each classroom attendee will receive a sheet listing all exhibitors. To participate in the door prize drawing, attendees must visit each exhibitor booth and collect the initials of a representative from every booth.

This initiative is designed to encourage interaction between attendees and exhibitors, providing a valuable opportunity to learn more about the products and services offered.

Once the form is completed, it can be turned in for a chance to win a door prize!

  1. LRWA has contracted Clark Services for all exhibitor needs. The exhibitor packet is available below.
  2. Please utilize Clark Services for all shipping needs, this ensures all booth material is ready at your booth when you arrive. Lake Charles Event Center is not responsible for receiving/holding material for your booth.

Exhibitor Booth Payment Policy
  1. Registration is available through our online ticket system and PDF form below.  You can pay by credit card online or mail the PDF form and a check.
  2. Checks or money orders payable to La Rural Water Association

  4. Credit cards:  Visa, MasterCard, American Express, and Discover.  There is a 4% credit card surcharge.
Exhibitor Booth Cancellation/Refund Policy
  1. $200 processing fee on cancellations before or on May 31st.
  2. Only half of the registration will be refunded from Jun 1st – Jun 30th.
  3. A written request for cancellation/refund must be received by mail or email at lrwa@lrwa.org.
  4. NO refunds will be granted after July 1st.  NO refunds on Luncheon Tickets.

LRWA Seeks Experts to Present at LRWA's Annual Conference
Share your Expertise with Future Leaders!

Deadline March 13th.

The Louisiana Rural Water Association (LRWA) is now accepting presentation proposals/abstracts for its Annual Conference, scheduled for July 13–16, 2026, at the Lake Charles Event Center in Lake Charles, Louisiana. This event is a great place to showcase new technology and connect with Water and Wastewater Professionals from around Louisiana.

New Presenter Policy:  Only presenters representing companies that have paid the current year’s LRWA membership dues (deadline: January 31) and submitted a booth registration with payment for the conference will be considered.

Submission Details:

  • Complete the online presentation submission form by March 13, 2026.
  • After this deadline, LRWA will begin selecting presentations for the conference agenda.

Topics of Interest:
We welcome presentations relevant to the water and wastewater industry, including:

  • New technology and innovations
  • Security and emergency preparedness
  • Utility management and operations
  • Board training and governance
  • Regulatory updates

The conference provides specialized training and networking opportunities designed for utility managers, town council members, and utility board members, covering all aspects of the water and wastewater industry.

Conference Sessions:

  • 24-Hour Technical Classroom Sessions: July 14–16 (Tuesday–Thursday)
  • Exhibit Hall Presentations: 30-minute presentations at your booth on Thursday, July 16, from 10:00 am–11:45 am

The LRWA Annual Conference brings together water and wastewater utility systems—large and small, municipal and rural—to share best practices, enhance skills, and foster professional connections.

Alcohol will be served at this event; you must be 21 years old or older. To receive a special wristband, you must present your LRWA name badge.
