October 2025 Annual Mini Conference — Exhibitor Registration

LRWA General Information
Booth Registration Includes
  1. Booth sizes 8ft deep x 10ft wide space, with one 6ft table, and two chairs.
  2. Pole and drape with an electrical outlet (500 watts).
  3. Sign with the company name as it appears on the registration form.
  4. Meals (breakfast/lunch) are provided during the week at the Natchitoches Event Center.
  5. All special events. (Meet & Greet Exhibitors; etc.)
  6. You can bring large equipment/trailers inside the Event Center Exhibit Hall area. (must purchase the necessary booth space to accommodate equipment/trailers).
  7. Space is available outside in the parking lot for trailers/large equipment at no additional charge with the purchase of inside space. Security will not be available inside or outside the premises.
  8. Please utilize Clark Services for any additional booth or shipping needs. They will ensure that booth materials are at your designated booth space, waiting for you. A packet from Clark Services is available below for any additional needs.
Exhibitor Booth Policy/Rules/Procedures
  • LRWA reserves the right to refuse a vendor from exhibiting at the LRWA  Mini-Conference.
  • Height Restrictions:  No displays or signs shall be higher than the pole & drape (8ft).
  • Advertising or canvassing outside the individual exhibitor’s booth is prohibited (signs/banners/advertising must be confined to assigned booth space).
  • Exhibitors may not sublet or assign their space to others.
  • Combustible materials and explosives are prohibited; fire extinguishers and exits must not be obstructed.
  • Public address systems will not be allowed.  Any audio/visual presentation equipment must be limited to the hearing area of the booth. LRWA will not be accountable for copyrighted music or material.
  • Space is available outside for trailers/large equipment at no additional charge with the purchase of inside space.  Security will not be available inside or outside the premises.
  • Exhibitors shall assume all responsibility for any loss, damage, or injury they may cause, and they shall hold harmless the LRWA and the Natchitoches Event Center.
Booth Assignment
  1. Booth space assignments WILL NOT be provided until the time of sign-in at the Natchitoches Event Center.
  2. The deadline is October 1, 2025.
  3. LRWA will not hold booth spaces or process registrations without payment.
  4. Booth registrations will be accepted until October 1, 2025, or until all spaces are sold; whichever comes first.
  5. If you would like your booth to be next to another company, both registrations must be submitted to LRWA at the same time, clearly noting the request. If this is not done, LRWA cannot guarantee that the booths will be placed next to each other.
  6. Booth placement is done on a first-come basis.
Exhibitor Unloading
  1. The Natchitoches Event Center does have a forklift.
  2. All Exhibitors must sign in at the exhibitor registration desk to receive conference materials and booth location. Directions for unloading will be provided at this time.
  3. Natchitoches Event Center is not responsible for receiving/holding material for your booth. If you wish to ship booth material, please utilize Clark Services.
Set-up and Breakdown/Teardown:
  1. The Registration Desk will be located in the Natchitoche Event Center.
  2. Pick up your conference packet (name badges, schedule, etc.) before setting up your booth.

Monday 10/13/25= Optional Exhibitor sign-in and set-up from 1:00 pm to 4:00 pm

Tuesday 10/14/25 = Exhibitor sign-in and set-up from 8:00 am to 12:00 pm
Tuesday 10/14/25 = Exhibit Hall will be open from 1:00 pm to 6:00 pm
Tuesday 10/14/25 = Exhibit Hall/ Meet & Greet 4:00 pm to 6:00 pm

Wednesday 10/15/25 = Hot Breakfast for everyone 7:00 am to 8:00 am
Wednesday 10/15/25 = Exhibit Hall will be open from 9:00 am to 3:00 pm (Lunch will be provided from 12:00 pm to 1:00 pm)
Wednesday 10/15/25 = Exhibit breakdown anytime from 3:00 pm to 5:00 pm (note: booth breakdown is NOT allowed before 3:00 pm; classes will be breaking to view the exhibit hall).

Shipping Booth Material
  1. LRWA has contracted with Clark Services for all exhibitor needs. The exhibitor packet is available below.
  2. Please utilize Clark Services for all shipping needs. This ensures that all booth materials are ready at your booth when you arrive. Natchitoches Event Center is not responsible for receiving/holding material for your booth.

Exhibitor Booth Payment Policy
  1. Registration is available through our online ticket system and PDF form below.  You can pay by credit card online or mail a check and PDF form.
  2. Checks or money orders payable to La Rural Water Association
  3. Mail a copy of your emailed registration confirmation (so we know what the check is for) and payment to

  4. Credit cards:  Visa, MasterCard, American Express, and Discover.  There is a 4% credit card convenience fee added to all credit card purchases.
Exhibitor Booth Cancellation/Refund Policy
  1. LRWA charges a $100.00 processing fee for ALL CANCELLATIONS.
  2. A written request for cancellation/refund must be received by mail or email at lrwa@lrwa.org before October 1, 2025.
  3. NO refunds will be granted after October 1, 2025.

Printable Registration Information

PDF registration forms:  You can click on the PDF form and complete it on your computer, iPad, Tablet, or phone.  We ask that you DO NOT handwrite on the PDF forms because we have trouble reading them.  Handwritting could delay your registration from being processed. Please type if you do not use the online ticket form.

If you send a check please do so promptly because we do not process any registrations without payment.
